Learn how to add a survey within your Email Signature and get feedback from within your emails 📧

Every email is an opportunity to collect feedback from your customers and employees.

With Zonka Feedback, you can send your survey in your email as a part of your email signature. By adding a survey to your email signature, you set the doors wide open for customers to share their feedback with you in real-time, get higher response rate, and all this without hardly any additional effort.

What is an Email Signature Survey?

Email Signature Surveys allow you to include the first question of your survey, usually a CX Metrics question, in your personal email signature. Respondents go straight to the second question of the survey and bypass the first question which is already answered when they click on the embedded question from my email.

You can embed the question as — Question, Button, or as a Hyperlink.

How to Setup an Email Signature Survey?

Now that we have learned What an Email Signature Survey is and What are its benefits, please follow the steps below to set up,

Step 1: Design and add your question or CX Metrics

  • Navigate to Surveys (Manage > Surveys) from the left sidebar and click on the Add Survey button. Give your survey a name and description to get started.

  • Navigate to 'Build' and add all your essential questions to your survey.

  • Make sure to add Net Promoter Score (NPS), Customer Satisfaction Score (CSAT), Customer Effort Score (CES) question, or a clickable question as your First question. Know more about creating your surveys

  • Add Themes and set up Survey logic (skip/hide) to complete the survey designing process.

💡 Tip: For the first question, use the NPS, CES, or CSAT type with 10, 7, or 5 scale points that could work well with signature-based surveys.

Step 2: Configure your Email Signature

Once done with the designing of the survey, navigate to 'Distribute' and follow the steps below:

  1. Choose the 'Email' channel.

  2. Scroll down to 'Setup Email Signature Survey > Configure.'

  3. From the Email Signature setup page, Choose your Email Application.

  4. Choose Embed Style. There are 3 types of Embed Styles available.

    Question: Use this to embed the first question of your Survey within the Zendesk Email Body.

    Button: Use this to embed a button to Start Survey in your Zendesk Email Body. Once customers click on this button, they would be redirected to the Zonka Feedback Survey on their browser.

    Hyperlink: Use this to embed a hyperlink of your survey within the Zendesk Email Body. On click, the Survey will open in your browser where customers can give you feedback.

  5. Based on the Embed Style you choose, the HTML code will appear in the box.

  6. Take a look at the preview of how your Email Survey Signature would look for your Embedded Style in the Email Application.

  7. Once happy with your styling, copy the code and insert the HTML code inside as a signature in your Email application.

Setup Email Signature with ActiveCampaign

After setting up your Email Signature Surveys, it is now time for us to add them to your ActiveCampaign account, To do this please follow the steps below,

  1. Copy the HTML code from your Zonka Feedback configure page.

  2. Login to your ActiveCampaign account.

  3. From the left panel, Settings > Accounts.

  4. Paste the HTML code in the signature space given.

  5. Update all the information and click on 'Save Settings' in your ActiveCampaign.

Your ActiveCampaign Email signature has been successfully set up and all collected ratings/responses will be stored in your Zonka Feedback account. Take a look at the sample email below:


Setup Email Signature with Apple Mail

After setting up your Email Signature Surveys, it is now time for us to add them to your Apple Mail account, To do this please follow the steps below,


Setup Email Signature with Front

After setting up your Email Signature Surveys, it is now time for us to add them to your Front account, To do this please follow the steps below,

  1. Copy the HTML code from your Zonka Feedback configure page.

  2. Login to your Front account.

  3. From the left panel, Settings > Signature > Add Signature.


  4. Switch to Mode: Raw (Write your HTML) and paste code.

  5. Switch to Mode: Visual to see your actual question.

  6. Click on 'Save' once done.

Your Front Email signature has been successfully set up and all collected ratings/responses will be stored in your Zonka Feedback account. Take a look at the sample email below,


Setup Email Signature with Gmail

After setting up your Email Signature Surveys, it is now time for us to add them to your Gmail account, To do this please follow the steps below,

  1. Copy the HTML display from the Preview area to add in your signature in Gmail.

  2. Open your Gmail > Settings and scroll to the Signature section.

  3. Click the option that you want to include a signature in your e-mails.

  4. Place your cursor where you want your Survey to be embedded and paste the copied HTML Display.

  5. Then click the option insert this signature before quoted text in replies and remove the "--" line that precedes it.

  6. Once you are done, click on 'Save changes' in Gmail settings.

Your Gmail Email signature has been successfully set up and all collected ratings/responses will be stored in your Zonka Feedback account. Take a look at the sample email below,


Setup Email Signature with Helpscout

After setting up your Email Signature Surveys, it is now time for us to add them to your ActiveCampaign account, To do this please follow the steps below,

  1. Copy the HTML code from your Zonka Feedback configure page.

  2. Login to your Helpscout account.

  3. From the above panel, Mailbox> Choose the required Mailbox.

  4. Click on Mailbox Settings > Edit Mailbox.

  5. Paste the HTML code in the signature space given.

  6. Once you are done, click on 'Save' in the Mailbox settings.

Your Helpscout Email signature has been successfully set up and all collected ratings/responses will be stored in your Zonka Feedback account. Take a look at the sample email below,


Setup Email Signature with Hubspot

After setting up your Email Signature Surveys, it is now time for us to add them to your Hubspot account, To do this please follow the steps below,

  1. Copy the HTML code from your Zonka Feedback configure page.

  2. Login to your Hubspot account.

  3. From the left panel, Settings > Your preferences > General.

  4. Choose 'Email' and move to the 'Configure' section.

  5. Click on 'Edit Email Signature' — Your signature will be used in one-on-one emails through the HubSpot CRM and as a personalization token for marketing emails.

  6. Choose the Signature types as HTML.


  7. Paste the HTML code in the signature space given.

  8. Once you are done, click on 'Save' in the Hubspot settings.

Your Hubspot Email signature has been successfully set up and all collected ratings/responses will be stored in your Zonka Feedback account. Take a look at the sample email below,


Setup Email Signature with Kustomer

After setting up your Email Signature Surveys, it is now time for us to add them to your Kustomer account, To do this please follow the steps below,

  1. Copy the HTML code from your Zonka Feedback configure page.

  2. Login to your Kustomer account.

  3. Navigate to Settings > Admin > Email Templates.

  4. Add a New template and give a user-friendly name to your template.

  5. Choose the 'Code Editor' and click on Create.

  6. Paste the HTML code in the Email body.

  7. Once you are done, click on 'Save'.

Your Kustomer Email signature has been successfully set up and all collected ratings/responses will be stored in your Zonka Feedback account. Take a look at the sample email below,


Setup Email Signature with Liveagent

After setting up your Email Signature Surveys, it is now time for us to add them to your Liveagent account, To do this please follow the steps below,

  1. Copy the HTML code from your Zonka Feedback configure page.

  2. Login to your Liveagent account.

  3. From the left panel, Configuration > Email > Email Templates.

  4. Choose Ticket reply, and click on Edit.

  5. Then switch to source mode, and Paste the HTML code.

  6. Once you are done, click on 'Save'.

Your Liveagent Email signature has been successfully set up and all collected ratings/responses will be stored in your Zonka Feedback account. Take a look at the sample email below,

Setup Email Signature with Outlook

After setting up your Email Signature Surveys, it is now time for us to add them to your Outlook account, To do this please follow the steps below,

  1. Copy the HTML display from the Preview area to add your signature in Outlook.

  2. Open your Outlook > Settings.

  3. From the Settings section, click on 'View all Outlook Settings' at the top of the page.

  4. Select Mail > Compose and reply.

  5. Under the Signature section, Paste the copied HTML Display.

  6. Once you are done, click on 'Save' in Outlook settings.

Your Outlook Email signature has been successfully set up and all collected ratings/responses will be stored in your Zonka Feedback account. Take a look at the sample email below,


Setup Email Signature with Salesforce


Setup Email Signature with Zendesk

After setting up your Email Signature Surveys, it is now time for us to add them to your Zendesk account, To do this please follow the steps below,

  1. Copy the HTML code from your Zonka Feedback configure page.

  2. Log in to your Zendesk account.

  3. From the left panel, Admin > Triggers.

  4. Set the trigger conditions according to your needs.

  5. Navigate to the 'Actions', and add a new action.

  6. Under the Email body, customize your email and Paste the HTML code.

  7. Once done, click on 'Save'.

Your Zendesk Email signature has been successfully set up and all collected ratings/responses will be stored in your Zonka Feedback account. Take a look at the sample email below,


Setup Email Signature with Other Softwares

If you don’t see your preferred Email Application here, not to worry, we have got it covered. You can still use the Email Signature Survey in your desired app by following the steps below,

  1. Copy the code for Question, Button, or Hyperlink.

  2. For Question, here’s how you can pass custom values and parameters. In the code, you will see multiple Survey URLs along with .For instance, referenceQuestionId and referenceChoiceId https://us1.zonka.co/84DWpy?referenceQuestionId=607e83e20597b10942446bba referenceChoiceId=607e83e20597b10942446bb7 To this, add parameters you’d like to pass. For example, if you’d like to pass the ,your URL will become where. zd_agent_email and zd_ticket_Id are parameters from Zendesk. https://s.zf1.zonkaplatform.com/o104kF?referenceQuestionId=607e83e20597b10942446bba referenceChoiceId=607e83e20597b10942446bb7?contact_email=zd_requester_email zd_agent_email and zd_ticket_Id are parameters from Zendesk. Do this for all links in the code.

  3. For Button & Hyperlink, here’s how you can pass custom values and parameters.In the code, go to Survey URL which looks something like this: https://us1.zonka.co/84DWpy. To this, add parameters you’d like to pass. For example, if you’d like to pass the Zendesk Agent Email Address and Ticket ID your URL will become https://us1.zonka.co/84DWpy?zd_agent_email={{ticket.assignee.email}}&zd_ticket_Id={{ticket.id}} zd_agent_email and zd_ticket_Id are parameters from Zendesk. Do this for all links in the code.
